JOB DESCRIPTION:

Position Overview

The Facility Services Assistant Volunteer plays a vital administrative support role in the Facility Management Division by helping manage digital systems that track the park’s assets, work orders, maintenance history, and preservation planning. Volunteers may assist with projects connected to the park’s historic sites, including Melrose Mansion, the William Johnson House, Fort Rosalie, and Forks of the Road. This work directly supports maintenance efficiency, cultural resource stewardship, and the park’s mission to preserve nationally significant resources. This is an excellent opportunity to gain experience in federal asset management systems, project tracking, and park operations. Volunteers in this role may have access to internal systems or sensitive asset data and are responsible for maintaining the integrity and confidentiality of federal asset records. A background check is required prior to service. Local volunteers are welcome and encouraged to join our team.

 

Dates & Commitment

Volunteers may serve for any length of time based on availability. Those wishing to receive an RV site must commit to a minimum of three months and a maximum of six months. Local volunteers are welcome with a minimum of two days per month. Exact start and end dates are flexible.

  • Individuals: 32 hours per week if in RV site program
  • Couples: 24 hours per person per week if in RV site program
  • Note: Couples wishing to apply should submit separate applications for each person.

Uniform Requirements

  • Provided by Park: Volunteer badge and uniform items may be issued depending on availability
  • Provided by Volunteer: Neat, park-appropriate attire and closed-toe shoes

Duties & Responsibilities

As a Facility Services Assistant Volunteer, you will:

  • Enter work orders, tasks, labor records, and cost details into FMSS
  • Support park staff in updating asset records and inventory data
  • Generate FMSS reports to assist with work planning and performance tracking
  • Assist in preparing documentation for facility condition assessments and small project scopes
  • Help organize and maintain digital and physical files related to work orders and facility operations
  • Participate in identifying data inconsistencies or gaps and help correct them under supervision
  • Provide administrative support for tracking GPRA performance, project completions, and cost reports
  • Optional: assist with documentation of historic structures or landscape features using NPS templates
  • Perform other administrative support duties as assigned, including filing, recordkeeping, data entry, or office organization tasks

Work Environment & Safety

This role is primarily in an indoor office setting, with possible light field work for documentation or asset verification. It may require sitting for extended periods at a computer workstation. Some repetitive data entry tasks are required; training on ergonomic work practices is provided. Volunteers will receive safety orientation and applicable software use guidelines.

Requirements for Volunteers

  • Be a U.S. citizen and provide a permanent mailing address
  • Pass a background check (NACI or equivalent, initiated after conditional selection)
  • Provide a professional reference to verify relevant experience
  • Provide your own personal camping accommodations if staying in the RV site
  • Have strong attention to detail and data accuracy
  • Basic computer skills (Microsoft Excel, Word, or other office programs)
  • Willingness to learn FMSS (training provided)
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Interest in facility management, historic preservation, or public lands operations
  • Have a positive and helpful attitude
  • Be able to work safely and follow all park safety protocols

Housing Information

  • RV Site: On-site pad with water, sewer, and electric hookups
