DESCRIPTION

The primary duty of the Administrative Assistance Volunteer is to assist office staff with administrative duties.  The position is required to work a minimum of 24 hours a week. The 24 hours per week can be split up with their partner’s own volunteer position. The Administrative Assistance Volunteer is responsible to work the scheduled days that are needed for them to work (regardless of the amount of hours worked by their partner).

The volunteer will be scheduled certain days to work in the office which is specified in the volunteer agreement. The volunteer will be required to provide their own transportation as needed. Projected mileage per month will vary by area, but is projected to be low. This position will primarily report to the administrative specialist or when necessary the volunteer coordinator.

An RV pad with full hookup (water, electric, and sewer) and a small shed will be provided for all 7 days while serving as a park host.

DUTIES
  • Conduct visitor assistance by phone and in person as needed.
  • Answer incoming calls and distribute to staff members.
  • Assist in filing papers and updating files as needed.
  • Create park passes and bundle them for delivery.
  • Contact other volunteers when a volunteer meeting/safety meeting is scheduled.
  • Prepare conference and break rooms for meetings and other gatherings including cold storage areas.
  • Organize and maintain records of needed office supplies and provide a list to the staff admin.
  • Scan and organize documents electronically.
  • Some basic computer operations such as creating flyers and handouts are required.
  • Conduct other various duties as needed.
  • Organize and maintain records of volunteer uniforms.

Some of these primary duties will not be performed by the volunteers. These duties are stated to allow the volunteer program room to grow. Volunteers will never be asked to perform a task that they are not comfortable with.

QUALIFICATIONS

Volunteer must possess the ability to work well and deal with all types of people. They must be friendly and always represent professionalism in their duties. Volunteers must be able to effectively work with other volunteers, staff and contractors. Volunteers should be capable of learning the office phone and filing system. Volunteers should be able to pass a background screening required to access federal computer systems. Volunteers are required to provide their own licensed transportation with insurance and fuel, for any duties that they may need it for.

The signing of the volunteer agreement means the volunteer has a full understanding of their job description, and a full understanding that the volunteer management plan and volunteer agreements should be referenced for more detail about the guidelines and requirements that the volunteer must meet.
